Time Management & Organizational Skills

We got a lot of strategies to make our time efficiently use with good things and the time will no waste just like that.  We also learn about :    

1)Fixed-Commitment Calendar
2)Job Task Analysis
3)Priotized To-Do List

What is Time Management?

- Time management is an art. It is arranging, organizing, and budgeting time for the purpose of
   accomplishing something within a time.
- Time management is having control over the amount of time spent on a particular activity.
- Hence, time management helps an individual to be more organized and more productive.






5 strategies to manage time proficient 

  • Weekly schedule : Make a schedule that lists all of things that you want to do in a week.
  • Daily planner : Same like weekly schedule, but focused more on work that can be done in one day.

  • Semester calendar Mostly a planner that consists of what you want to (achieve  academic) throughout the semester.
  • Balanced academic & personal life : Academic is important for students but our life must socialization is more important so it is better balance both things in order to achieve success in life
  • Avoid procrastination : this will destroy your time management plan. So DO NOT DELAY YOUR TASK !


  •  Fixed-Commitment Calendar


Example : 





- Mark off time that are fixed (regular scheduled) activity such as classes, sports, sleep, work or hangout, shopping.

- Trace all the free time with a highlighter which this time can be a good time for study.

- Lastly step is prepared your fixed commitment calender and count the number of hours that for study.



              Job Task Analysis
                            
A task has a certain beginning and end

  • Tasks is observable, the performance of a jobholder, a definite determination can be made the task has been accomplished.
  • Task is performed in relatively shorts period of time. They are usually measured in minutes or hours.
  • Each task is independent of other actions. Tasks are not dependent on components of procedure. A task is performed by an individual for its own sake.

  • A task statement is a highly specific action. It has verb and an object. It may have qualifiers such as measure distance with a tape measure. A task statement must clear and not be confuses with an objective that have conditions and standards.


    Prioritized To-Do List
    Key Points 
    - You need to be using To-Do Lists to be well organizes in the workplace. By using it , you will:

    - You remember to carry out all necessary tasks
    - You don't get stressed by a large number of unimportant jobs
    - You tackle the most important jobs first, and don't waste time on trivial tasks.
    - Mark the important task next to it with a priority from A (VERY IMPORTANT) to Z (UNIMPORTANT). Redraft the list into this order very good because you will see the jobs at the top of the list first.
    - You can also use software based approaches to manage your list. You can access these from anywhere or you can use it on your Smartphone.

Memory vs Brain

Like other parts of our body, our brain is made up of cells. Many of these cells help regulate the chemistry of the brain and give it structure. But some are specialized to do far more. These cells, known as neurons, do most of the work that allows you to think, feel, and move.

A human brain may contain as many as 100 billion neurons of different kinds. The neurons connect through long, spidery arms and communicate with each other through electrochemical signals. Each of the brain's 100 billion neurons can connect to at least 1,000 other neurons, so a brain may have at least 100 trillion connections in all. Every second, a single neuron may send as many as 1,000 signals.

 These signals can zip from neuron to neuron at speeds up to 250 miles (400 kilometers) an hour.

Brain Size: 
How big is the human brain compared to other brains?

Human brain: An adult human brain weighs around 3 pounds (1400 grams), or about as much as a cantaloupe.





  • Left hemisphere : Indicates that a person is more skilled in mathematical, facts, summary, communication, programming, analysis, practices and see in detail.
  • Right hemisphere : Indicates that a person who is artistic, creative, likes visual, have strong instinct, can give idea, holistic and see image completely.

  • related to provisional information storage that carried by 5 senses
  • if it is given attention, it would transferred to short - term memory or it would be loss instantly


    Short-term Memory

    - is a process that allows information to be received and stored in a duration 30 seconds to 24       hours.
    - have a limit on how much information can be stored. Some of it, if given concentration             repeatly, will be move to long-term memory system.

    Long-term Memory
    - is a memory of an information for an extensive time.
    - every information stored will permanent until the end of a person life, but it depends how         they can recall it from the memory (brain).


Memory Strategy

1) Make schedule to read the book for some period - Not read it a day before the exam day. For example you read 1 chapters a day to understand and make some notes.

2) Rehearsel - Read something repeatly. Repeated the information to keep it in your memory.

3) Elaboration Strategies - this strategy use different words or methods that you easily to remember such as use symbol, colour, and same word but in short form.


Concentration Strategies

  • causes of poor concentration
      1. Lack of interest.
      2. Lack of attention.
      3. Lack of motivation.
      4. Distraction from others.
      5. Uncomfortable environment.
      6. Psychological matters - personal problems, worries, anxieties, illness and tiredness.

Strategies For Improving Concentration


  • Create a positive learning environment
         - find a better location, reduse multiasking, minimize distractions such as noisy.
  • Use motivational & organizational strategies 
        - create interest in your work, use goal setting strategies & use time management strategies.
  •  Deal with internal distractions 
        - deal with competing activities & problems and meet the caunselor.
  • Use active learning startegies.
  • Monitor our concentration.
  • Match your learning style.

Goal Setting


Goal Statements - The Five Step Approach

1.WHAT ARE GOALS?


Experts define goal setting as the act of selecting a target or objective you wish to achieve. Fair enough. That definition makes sense, but i think there is a much more useful way to think about setting goal.

It is easy to sit around and think what we could do or what we like to do. It is an entirely diffrent thing to accept the tradeoffs that come with our goals. Everybody wants a gold medal. But a few people want to train like Olympian.

This gives us the first key inside. Goal setting is not only choosing the rewards you want to enjoy, but also the costs you are willing to pay.

1. goals should be self-chosen.
- goals that are set by your parents, teacher, or friends may not always work for you.
- you need to determine or choose your own goals.
- you need to decide what you want to accomplish, if you set your own goals, you will be more    motivated to achieve them

2. goals should be moderately challenging
- one way to set moderately challenging goals is to consider what you have done in the past.
- goals can always be revised, if you discover you can achieve more than you originally set out to    accomplish.

3. goals should be realistic.
- think about whether your goal are attainable . ex it would be unrealistic to expect to get a b or better in calculus if your math background is very weak and your high school grades in math were never higher than a c.
- to set realistic goals, you must carefully evaluate your chances of achieving each goal.

4. goals should be measurable
- goals is measurable if we can determine whether we reached it.
- it would be much easier to measure our success if you had aimed for A or B
- it would be difficult to determine whether we achieved our goal if we just want to ' do well in a course'

5. goals should be specific.
- the more specific our goals, the more motivated we will be to achieve them.

6. goals should be finite
- goals need to have a limited time frame
- it is importance to set deadlines for all of our goals.

7. goals should be positive.
- you will always do better if we working toward something ( when we have positive attitude)
- avoid using words like try, think, hope, when we describe our goals
- negative goal statement are not motivating us.



2. CHARACTERISTICS OF GOALS




1. Set Goal that motivated YOU
- When you set a goal, it has to mean something and there has a target to achieving it. So, start with the goals that are highest on your priority list. It easy to be overwhelmed by everything that need to be done, so start it simple.

What you get by achieving your goals is not as important as what you become by achieving your goals.

  There are five that we gonna to talk which is S M A R T

S - SPECIFIC
    - Define the goal as much as possible with no unclear languange
    - Who is involve, What do I want to accomplish, Where it will be done, Why am I doing this        (reason, purpose, Which requirements do I have?

M - MEASURABLE
     - Track the progress and measure the outcome
     - How much, how many, how will I know when my goal is accomplished?

A - ATTAINABLE
    - Is the goal reasonable enough to be accomplished. How so?
    - Make sure the goalis not out or reach or below standard performance.

R - RELEVANT
    - Is the goal worthwhile and will it meet your need?
    - Is each goal consistent with the other goals you have established and fits with your immediate
      long term plans?

T - TIME - BOUND
   - Your objective should include a time limit. Example: I will complete this misson this week/day
   - It will establish a sense of urgency and prompt you to have better time management.

 USING THE LEARNING MANAGEMANT SYSTEM
- is a software application that allows instructors to create, document, track, report and deliver courses to student.
- it also help the instructors to deliver material to the students, administer tests and other assigments, track student progress, and manage record-keeping.
- in UiTM, the Learning Management System (LMS) called i-learn.
- i-learn aims to help students increase the skills of technology use, and improve knowledge acquisition and information sharing.

3. LONG- AND SHORT-TERM GOALS
  • long-term goals are the objectives you set for yourself for the end of the year, for four or five years from now, or even for a lifetime.

  • short-term goals can be set for an hour from now, for the end of the day, week, month, or term (or semester). ex: short term goals include things like completing a reading assignment, writing an essay, getting a b in a course, getting off probation, or making the list


  • think of your shortterm goals as steps toward achieving the long-term goals you've set for yourself


4. ACADEMIC AND PERSONAL GOALS

  • academic goals- relate to your course work. they include things like going to class, completing assignments, and preparing for exams.

  • personal goals- like making new friends, participating in clubs or sporting events exercising, or even doing your work.



MY GOAL 

  • Exercise everyday such as jogging, push up, jump and walk.
  • Sleep early at 11 pm and wake up at 5 am.
  • Can spend enough money for buy food, and some cloths
  • Eat completely base on plan meal plans and not skip Breakfast
  • Memorize most important key work that cant forget
  • Can manage time such as build time table for "today planning"


5. FIVE STEP APPROACH TO SETTING GOALS


step 1 : tentative goal statement 

ex : 
i want at least a b in biology

step 2 : list of obstacles
ex : 
 i have trouble following the lecture, and i struggle to take notes

ex :
 i read the chapter before the lecture. i rewrite my notes afterward
